Position Focus:

The Development Coordinator provides advanced project and administrative support to the Yale School of Management’s (SOM) Development team, and specifically for Institutional Philanthropy, Campaign Initiatives, and Donor Relations/Stewardship, contributing to the overall success of the work of the office. Responsibilities include, but are not limited to, developing and preparing fundraising, campaign, and stewardship materials; data management; research; generating and preparing reports and presentations; scheduling; expense processing; administrative tasks; and other related responsibilities.

This position reports to the Managing Director of Development, Institutional Philanthropy with a secondary report to the Director, Donor Relations and Campaign Initiatives.

Essential Duties:

  1. Provide administrative support to SOM’s Development team, including Institutional Philanthropy, Campaign Initiatives, and Donor Relations/Stewardship. Interact with alumni, students, faculty, and administrative personnel while maintaining fast-paced, high volume, deadline driven responsibilities.
  2. Support fundraising activities and donor relations efforts including the development of materials, tracking of campaign progress, implementation of events, gift processing, electronic and paper filing, and other special projects. Draft correspondence and other documents that are often critical and highly confidential, as well as format, edit and proof a range of materials.
  3. Undertake research and assemble related materials using a variety of sources to prepare, update, and maintain fundraising materials that are used by the Yale SOM Development team. Coordinate with, and collect information from, other Yale SOM departments as needed for development purposes. Ensure the accuracy of fundraising materials with a strong attention to detail and proofing skills.
  4. Maintain, update, and extract information in the alumni/donor database (Hopper) and other sources. Analyze detailed database records and assist with the design, development, and implementation of reporting needs of the unit using Hopper, Excel, and other tools.
  5. Support the administration and execution of numerous, ongoing, and special events and donor visits.
  6. Use the University’s electronic systems and other resources as needed for expense management, travel reservations, invoices, submitting contracts, creating purchase orders, arranging shipping labels, and placing orders with vendors. Collect receipts for reimbursement of travel (domestic and international) and monitor reimbursement to Yale. Work closely with department’s business office in execution of all financial transactions. Prepare all documents in accordance with university policies and procedures. Request reimbursements for alumni and development volunteers.
  7. Coordinate and schedule internal and external meetings (in-person and virtual) and other calendaring needs.
  8. Serve as a member of the Development and Alumni Relations support team and provide back-up for other team members. Perform additional functions in the DAR office to maintain a high-level of support.
  9. Perform other duties as assigned.

Required Education & Experience:

Six years of related work experience, four of them in the same job family at the next lower level and a high school level education; or four years of related work experience and an Associate degree; or little or no work experience and a Bachelor degree in a related field; or an equivalent combination of experience and education.

Required Skills & Abilities:

  1. Outstanding organizational skills, ability to prioritize work to meet tight deadlines. Ability to multi-task for multiple staff members while successfully handling competing priorities. Exceptional attention to detail including reviewing and analyzing information from disparate sources and synthesizing that information in a cogent and concise form. Proven ability to function effectively in pressured, deadline-oriented office environment.
  2. Strong interpersonal skills and the ability to function effectively in a large office setting. Team player, ability to be flexible and cooperative. Ability to represent the Office of Development & Alumni Relations well in working collegially with peers, colleagues, and others within and outside the School and University.
  3. Strong communication skills. Ability to draft and proofread correspondence and written materials. High level of accuracy for writing communications and entering and manipulating data.
  4. Excellent computer skills, proficient in Microsoft products: Word, Excel, PowerPoint, Outlook (calendar), and Adobe Acrobat. Demonstrated proficiency with complex databases and other new technology. Proven ability to learn new technologies and learn to work within new platforms such as MS Teams, EverTrue, and other online project management platforms.
  5. Professionalism, maturity and the ability to maintain strict confidentiality.

Preferred:

Proven experience in a university setting working with sensitive and confidential information or with development work and systems. Bachelor’s degree.
