Position Focus: 

Reporting to the Associate Dean, with latitude for independent judgment, direct the administration and operations of the Office of Development and Alumni Relations. Manage administrative and program activities to support the achievement of SOM Development’s goals and serve as Associate Dean’s primary liaison to all internal and external constituencies. Manage and administer budgets for the Development Office.

Essential Duties: 

  1. Plan, direct and manage the administrative functions of the office. Serve as primary liaison for the Associate Dean of Development and Alumni Relations with a wide range of internal and external contacts.        
  2. Make recommendations regarding priorities to ensure the objectives of the Development and Alumni Relations Office are achieved.
  3. Work closely with the Associate Deans and Directors to facilitate communication and ensure implementation of stated objectives in a timely and efficient manner.
  4. Manage and ensure the delivery of high quality administrative support service to ensure smooth operation of the office. Responsible for the supervision, evaluation, training and development of C&T staff members. Determine priorities, standards and parameters of work to be accomplished. Ensure coordinated support during periods of absence, for special projects and peak work periods. Conduct regular staff meetings to review goals and status of projects. Analyze needs and procure temporary and student help as needed.
  5. Oversee and coordinate meetings for the Dean of the School with donors and potential donors for the Associate Dean and Managing Directors.
  6. Manage administrative, program and office activities. Design and implement office policies and procedures and systems to enhance office production and efficiency including developing and implementing tracking systems for workflow.
  7. Coordinate all board development activities for Senior Associate Dean in conjunction with board relations managers.
  8. Prepare correspondence, reports, manuscripts and other material. Compose substantive correspondence and other written material.
  9. Manage Associate Dean’s calendar to ensure accuracy and coordinate with input from School and University departments and outside organizations.
  10. Provide support to Senior Associate Director of Development and Board Relations.
  11. Supervise all financial activities for the office and develop systems for tracking expenditures. Prepare and monitor financial data. Identify opportunities to organize and allocate resources to ensure the highest levels of organizational productivity and efficiency are achieved. 
  12. Conduct research and gather background information for projects, meetings, events, as needed in preparation for Associate Dean’s activities and meetings.
  13. In conjunction with SOM staff, ensure that events and projects for the Development and Alumni Relations Office are executed in an optimal manner.
  14. Other projects as assigned.

Required Education & Experience: 

 Bachelor’s degree and two years of experience in an administrative and/or supervisory capacity or an equivalent combination of experience and education. 

Required Skills & Abilities:   

  1. Ability to craft and articulate messages for various audiences/Ability to craft messages from the Associate Dean. Highly developed oral and written communication skills. Must provide writing samples.
  2. Excellent attention to detail and ability to prioritize, use sound, independent judgment, work as a team player. Ability to deal with complex issues and sensitive situations that require confidentiality.
  3. Superior interpersonal skills and professional demeanor required to interact effectively with faculty, staff, students, alumni, and dignitaries in a complex, fast-paced and changing environment.
  4. Excellent computer skills including well developed knowledge of Microsoft Office programs and Internet search engines, ability to use development databases, and electronic business systems
  5. Superior organizational skills- ability to prioritize, manage and coordinate multiple items/projects. A leader with a positive and can-do attitude that supports the mission of the school. Ability to handle crises as well as a wide range of short- and long-term management issues. Ability to represent the School well in working collegially with peers and colleagues within and outside the University.

Preferred:

Experience in an executive setting and supervisory experience. Global orientation; experience working across countries and regions, and fluency in more than one language.
